Changes coming to Google Workspace, MyDrive and Shared Drive storage quotas

In early 2021, Google introduced a new license and storage model eliminating free, unlimited storage. In response, DoIT Productivity and Collaborative Solutions (PCS) has embarked on a multi-year project focused on reshaping the Google Workspace service so we can continue to offer the valuable collaboration and file sharing tool, while managing the new costs and storage restrictions presented to the university.

What is changing?

The project team is collaborating with campus partners and peer institutions to evaluate the following:

  • Individual MyDrive storage quotas
  • Shared Drive storage quotas and policies
  • Service eligibility for all available applications within the Google Workspace service
  • Service account strategy
  • Service acceptable use policy
  • Ongoing service and support framework

Not all impacts have been identified at this time, but the project team will keep stakeholders informed as new service strategies are developed.

What action do I need to take?

At this time, you do not need to take any action. We will announce storage quotas in January 2023. Our goal is to impact as few people as possible when implementing storage caps. It’s possible you may not be affected by the service changes. Future messaging will include more detailed information around next steps and alternative storage options. When will the changes go into effect?

While Google won’t enforce storage quotas until July 1, 2024, we plan to implement quotas beginning June 2023. This will provide “guardrails” against large volumes of additional storage growth while allowing a grace period to meet storage reduction deadlines. Based on data gathered, the majority of Google Workspace users should not be impacted by this change.
