You can now invite Zoom AI Companion to join meetings on third-party platforms such as Microsoft Teams and Google Meet. You can use these features to automate tasks, which leads to more time for collaboration and productivity. When the Zoom AI Companion is added to a meeting, it will transcribe the meeting, take notes and generate a summary with action items, allowing participants to focus more on the meeting agenda and discussion.
How to allow Zoom AI Companion to join third-party meetings
You can turn on this feature for individual meetings or let it join your meetings automatically.
To connect your Zoom account to your calendar:
- Log in to Zoom with your NetID at https://uwmadison.zoom.us
- Select Settings in the left menu
- Select the Mail & Calendar tab
- Click on Configure Calendar and Contacts Service
- Select Office 365, then click Next
- Make sure the Authorize with OAuth 2.0 checkbox is checked, then choose what calendar, contacts and presence permissions to grant to Zoom
- Select Authorize
Enable AI Companion to join third-party meetings
- Go to the AI Companion tab in Settings
- Turn on Allow AI Companion to join third-party meetings
Important: Choose how AI Companion joins your meetings
After you turn on this setting, you’ll need to decide how AI Companion joins your meetings. You have two options:
- Manual (recommended): Invite AI Companion to specific meetings one at a time using the Zoom desktop app.
- Automatic: Set AI Companion to join meetings on your calendar automatically.
If you choose automatic, don’t select “All events.” This will cause AI Companion to join every meeting on your calendar — even ones you don’t attend.
Instead, select “Meetings where I am the host” to make sure AI Companion only joins meetings you’re running.

Key details to note
- Acting as a meeting guest: When you invite Zoom AI Companion to join meetings on other platforms outside of Zoom, it will appear as a guest. It can be used to perform actions in third-party meeting platforms, just as you would use it for a native Zoom call.
- Any UW–Madison Zoom participant can invite Zoom AI Companion: You don’t need to be the meeting host to use this feature. (Note: Hosts can use meeting controls to manage Zoom AI Companion’s participation.)
- One location for all meeting notes: Meeting notes from a Teams call, a Google Meet or a Zoom session are stored centrally in Zoom, giving you a single, searchable location for all of your work conversations.
