Acquiring technology at UW–Madison involves specific policies and preferred vendors. This page serves as your central resource for navigating the procurement process—from selecting hardware and software to securing final approvals—ensuring your purchases are cost-effective and fully supported by DoIT.

There is a NASPO contract (505ENT-O16-NASPOCOMPUT-10) available through DOA which allows for the purchase of Microsoft hardware by UW–‍Madison departments.

You can still use the NASPO contract for procurement authority but please be sure to obtain our negotiated pricing (or better) rather than the list price on the NASPO contract. It is always allowable to negotiate better pricing (on any contract at any time, UW, DOA, or anyone else’s contract) if you are able to do so, and to continue to use the underlying contract for procurement authority.

If you are a UW–‍Madison student, faculty or staff looking to make a personal technology purchase, you can shop at the UW Bookstore Tech Center.

Memory is available through the Staples and Dell punchouts on ShopUW+, payment with your MD#. B&H Photo also has RAM but as they are an external supplier, you will need a procurement card to order.

If you need help picking memory machine, your first step should be the Crucial configurator at Crucial.com. Select “Upgrade your device” and proceed through the steps. Once you see a list of compatible products, copy the bolded part number and search with that on your vendor of choice. Do not use the Configuration ID.

MFA is being supported by the DoIT onsite Help Desk.  Anyone needing a replacement or new fob can purchase one there.

ShopUW+ should be your first stop for peripheral purchases as they offer many peripheral items through several contracted vendors.

Primary peripheral vendors are Staples and Dell. You can order with your MD# through these vendors. B&H Photo is also available as an external supplier through Shop@UW (you will need to use a P-card as with all external suppliers). For items not listed on those sites, third party vendors such as CDW-G, NewEgg and Amazon are available for P-Card users but they should be a last resort. Shop@UW is working on adding former Tech Store suppliers as additional vendors. They will cover most products that you would likely need and reduce the need to go to external vendors.

Refurbished toner

Available through our contracted vendor, BuyOnPurpose. Search for your specific printer model on their ShopUW+ storefront here.

New toner

Available directly from Staples. You can browse their full selection of new cartridges on ShopUW+ here.

The Campus Software Library remains the primary source of site licensed software for campus. If there are titles you would like to see added, please email licensing@doit.wisc.edu.

We are still able to provide departmental licensing. Titles such as Endnote, Parallels, and Microsoft Select licenses can be purchased using a D# on the Departmental Software Order Form.

All VoIP products have been moved to ShopUW+ for purchase with an MD#. Please search for “Cisco” or “VoIP” for the best results.
