AI meeting assistant tools are now available for all UW–Madison students, faculty and staff as part of the university’s enterprise Zoom and Webex platforms. These tools enable new capabilities that can make your virtual meetings more efficient and productive.
What are AI meeting assistants?
AI meeting assistants use meeting transcripts, chat and shared files to enhance virtual meetings. When you turn them on for a meeting, you can use them to:
- Create meeting summaries and lists of action items
- Quickly answer questions about what happened during a meeting
- Schedule and manage your meetings
Key features
The university’s enterprise licenses for Zoom and Webex make these tools especially useful for the UW–Madison community. These AI assistant tools are:
- Free: Available for no extra cost to everyone with a UW–Madison Zoom or Webex account
- Secure: Your conversations and meeting data are secure and private and will not become training data for future AI models
- Approved: OK to use with public, internal, sensitive and restricted data, including FERPA and HIPAA-protected information

Use responsibly
While these AI tools can save time and effort, it’s essential to use them responsibly:
- Know the rules: Check with your supervisor or instructor before using them and follow university policy.
- Think twice: Consider whether using AI is appropriate for sensitive or confidential meetings.
- Review before sharing: AI can make mistakes and show bias. Always review, validate and edit AI-generated content before sharing or using it in formal meeting minutes, notes or summaries.
Getting started in Zoom
To use Zoom’s AI Companion features, you’ll need to enable them before starting a meeting. Here’s how:
- Log into your UW–Madison Zoom account using your NetID
- Go to “Settings” > “AI Companion”
- Choose the features you want to enable in your meetings
Getting started in Webex
- Log into your UW–Madison Webex account using your NetID
- Create or join a Webex meeting
- Select “AI Assistant” from the meeting controls
- From there, you can ask the meeting host to turn on AI Assistant to choose from AI meeting features if it’s already on
