Information Technology Collaborative Coordination Committee (ITCCC)

The Information Technology Collaborative Coordination Committee (ITCCC) provides a forum for information sharing and identifies opportunities for collaboration among units responsible for technology across the University of Wisconsin-Madison in order to advance the UW’s mission and goals.

The ITCCC is not a policy-making group, although it makes recommendations on procedures or policies to the appropriate University authorities. As a body, it is not directly responsible for implementation, though individual members may oversee implementation efforts.

Schedule

Meetings of the ITCCC are conducted for 60 minutes on the 1st and 3rd Tuesdays of the month from 2-3pm central time via Microsoft Teams. Attendance is limited to ITCCC members and/or their alternate, as well as individuals invited to participate in specific discussions (subject matter experts). Inviting subject matter experts can be a professional growth opportunity for younger IT colleagues, allowing them to interact at the leadership level and providing their input in discussions.

Vision and Role

IT leaders across the University of Wisconsin-Madison recognize that IT infrastructure is central to the UW-Madison’s core functions of academics, research, and administration. The managers of that infrastructure are distributed throughout the Division of Information Technology (DoIT) and other academic and administrative units across the UW, with most focused on just one or two of these core functions. As a result, decisions are occasionally made without sufficient consideration to the problems or issues associated with all of the stakeholders involved.

The IT Collaborative Coordination Committee (ITCCC) is being established as a vehicle for improving the lines of communication, strengthening working relations, and promoting collaboration across university IT.

The ITCCC responds to four key observations:

  • The University of Wisconsin-Madison consists of many talented and dedicated IT professionals throughout our campus. Regular interactions at the IT leadership level help to promote information sharing, inclusivity, and communication between all levels of UW IT.
  • Many IT tools and products span teaching, research, and administrative functions. Coordination and collaboration at the IT leadership level makes it possible to leverage potential savings across the three functional areas.
  • Technology implementation should be driven by the needs of the community. Simultaneously, technology can be responsible for expanding and redefining opportunities. The ITCCC helps to create opportunities for technology innovation to happen.
  • By sharing experiences and collaboratively planning activities, IT leaders can make more informed decisions, utilize university funds wisely, and work cohesively to advance the UW’s mission and strategic goals.

Structure

Members are encouraged to share information and outcomes via Microsoft Teams, the committee Office 365 mailing list, and/or in-person discussions with relevant stakeholders.

Agendas, meeting minutes, and handouts are maintained in the committee’s shared Microsoft Teams folder and are open to members of ITCCC. The ITCCC Microsoft Teams mailing list and collaboration channel(s) are used for information sharing, discussion, and other announcements between members of the ITCCC.

The ITCCC is facilitated by the UW–Madison Chief Technology Officer. The facilitator is responsible on a twice-monthly basis of polling members for agenda items, building the agenda, inviting any needed guests, and running the actual meetings.

Activities

The ITCCC engages in the following activities:

  • Identifies university-wide IT issues and potential opportunities in consultation with various stakeholders.
  • Amplifies the needs of distributed IT units throughout the UW campus.
  • Serves an advisory role on university-wide IT projects, initiatives, and issues that have an impact on the greater UW community.
    • Develops recommendations and/or proposals for addressing such issues, and identifies and evaluates alternative approaches (including costs, issues of user support/training, and effectiveness evaluation).
    • Submits proposals for review and approval to the Vice Provost for Information Technology, ITC, *TAG, and/or other university bodies, as appropriate.
  • Forms and/or manages working groups to develop, implement, and evaluate specific technology solutions proposed or approved for specific issues.
  • Serves as a communication channel with reach to all parts of distributed and central IT on the UW-Madison campus where ITCCC members agree to help bring information to the ITCCC and disseminate information from the ITCCC.
